Privacy Policy

Last updated: 6 September 2026

The Energy Audit is designed for private reflection. This notice explains what information the app handles, why it is needed, the service providers involved and the choices available to you.

Who is responsible

Madlin Vere is responsible for The Energy Audit. Privacy and account requests can be sent to support@madlinvere.com.

Information the app handles

  • Account information: your name, email address, account identifier and membership status.
  • Billing information: your selected plan, subscription status, billing interval, renewal or cancellation dates and provider identifiers. Polar handles payment-card, billing-address, tax and invoice details for web purchases; The Energy Audit does not receive or store your full card details.
  • Private reflection data: relationship cards, interactions, before-and-after capacity, feelings, notes, tier reviews, practices and goals.
  • Journal and rehearsal content: entries and Boundary Studio details you choose to save.
  • Energy Garden activity: choices, progress and collected wisdom cards.
  • AI feature content: the prompts and conversation context you deliberately submit to the AI Guide or another AI-assisted feature, plus any response report you choose to submit for safety or quality review.
  • Technical information: information needed to authenticate, secure, diagnose and operate the service, such as timestamps and basic device or request information.

Why information is used

Information is used to create and secure your account, save the reflections you request, calculate transparent in-app summaries, provide membership features, respond to support or deletion requests, prevent misuse, and operate the service.

Where an AI feature is used, the content you deliberately submit is processed to generate the response you requested. The app’s ordinary relationship and interaction summaries do not require a general-purpose AI model.

The relevant legal basis will depend on the processing and where you live. It may include performing the service you request, legitimate interests in operating and securing the app, consent where required, and compliance with legal obligations.

AI features

AI is only involved when you deliberately open and use an AI-assisted feature. Avoid entering another person’s full name or information you do not have a right to share. AI responses can be incomplete or wrong and are not medical, mental-health, legal or emergency advice.

You can report an AI response from inside the Madlin Vere AI Guide. A report stores the reason you select, an optional note and a short excerpt of the reported response so it can be reviewed for safety and quality.

Direct crisis language may be checked automatically before a message reaches the AI Guide so verified local support options can be displayed. A message intercepted this way is not added to the normal AI conversation. The initial support region uses the device’s language setting, not precise location.

The downloadable data export currently includes saved app records but not AI conversation transcripts. Contact support if you need help with conversation data.

Service providers and sharing

The app relies on service providers for hosting, authentication, databases, AI processing when requested and error diagnosis. Polar provides web checkout, subscription management, invoices and payment processing. App-store providers may process purchases where store billing is enabled. These providers process information under their applicable terms, privacy notices and safeguards.

Personal information is not sold. It may be disclosed where required by law, to protect users or the service, during a properly managed business transfer, or when you ask for a feature that requires it.

Storage, security and international processing

Account controls and record-level access rules are used to limit private records to the signed-in owner. No online service can promise absolute security. Keep your account credentials and exported files safe, and contact support if you believe your account has been compromised.

Some service providers may process information outside your country. Where required, international transfers are handled in line with applicable data-protection requirements and the safeguards described by those providers.

How long information is kept

Saved app records are generally kept while your account remains active so the product can provide history and insights. Account-deletion requests are verified before deletion is carried out. Limited information may be retained for security, dispute resolution, legal obligations or backup cycles where permitted.

Subscription records are retained while needed to provide and reconcile membership access. Polar and other payment providers may retain transaction, tax and invoice records for the periods required by law and their applicable policies.

Your choices and rights

  • Review and correct: edit relationship cards and many records inside the app.
  • Delete records: remove individual interactions, relationships, journal entries and tier reviews where the relevant screen provides that control.
  • Export: download a JSON copy of saved app data from Profile.
  • Reminders: turn gentle reminders off in Profile and swipe visible reminders away.
  • Account deletion: submit a verified permanent-deletion request from Profile or Contact & Support.
  • Data-protection rights: depending on where you live, you may also have rights to access, correction, erasure, restriction, objection and portability, and to complain to your local supervisory authority.

Children

The Energy Audit is not intended for children under 16. Please contact support if you believe a child has provided personal information.

Changes and contact

This notice will be updated when the app, its service providers or its data practices change. Material changes should be communicated before they take effect.
